Program Administrator
Job Title: Program Administrator (Full Time Exempt)
Reports To: Program Manager
Job Overview: The Program Administrator will play an integral part in building the Montana Integrated Photonics Ecosystem as a core member of the MPQA team. This program, a part of the Headwaters Tech Hub, is designed to develop a globally-known integrated photonics design and development capability for state-of-the-art photonic sensing products.
This role is intended to support the successful and efficient execution of this program in multiple areas, including marketing, communications, project management, financial management, and relationship development.
The role requires excellent organizational and communication skills, proven capability to work independently, the ability to manage multiple tasks and meet deadlines, and a keen attention to detail.
Responsibilities and Duties:
*Provide daily office management support for the Integrated Photonics Ecosystem program.
*Lead website updates, event postings, social media, and job postings.
*Lead logistics for conferences and events, including event planning assistance, vendor coordination, registration, and on-site support.
*Provide travel & logistical assistance, prepare meeting materials, presentation preparation, communication, and correspondence.
*Lead marketing communications, such as newsletters and email correspondence, and promotional materials.
*Lead federal grant management process, including required documentation.
*Assist team with relationship management activities.
*Support staff with administrative tasks, such as scheduling, meeting minutes and followups, and maintaining organized files and records.
*Other duties as assigned.

*Bachelor’s degree in Business Administration or relevant experience.
*Proven experience in a leadership role.
*Excellent communication and interpersonal skills.
*Ability to work independently and problem-solve.
*Proficiency in Google Workspace preferred.
*Experience working with Federal awards preferred.
*Experience with CRM preferred.
